Shared computer lock
If several employees work at one office computer, turn on the shared computer lock. The screen locks when idle, and everyone signs in as themselves with a personal 4-digit PIN — in a couple of seconds, without a password and without reloading. Every action is recorded under the person who signed in. The lock works in the browser on a computer; the mobile app has no lock screen.
Important. While the feature is on, company employees sign in only with an email code or a passkey — password sign-in is disabled everywhere, including the mobile app. Partners, agents and guests sign in as before and do not need a PIN.
1. Who can do what
| Action | Who |
|---|---|
| Turn the lock on and set the idle time | main administrator (superadmin) |
| Make a computer shared, manage the computer list, reset employees' PINs | superadmin — all computers, admin — computers of their branch |
| Set their own PIN and sign in with it | all employees except partners, agents and guests |
2. Turning it on
- Open the company settings, “Security” tab.
- Turn on “Enable PIN lock”.
- Set after how many idle minutes the screen locks: from 1 to 120, 5 by default.
- Click “Save”.
While the lock is off, nothing changes for the company.
3. Making a computer shared
Register the computer on the computer itself, in the browser employees will use.
- On that computer, open the company settings, “Security” tab.
- In the “Shared computers” block, enter a name, for example “Reception 1”.
- Click “Make this computer shared”.
The computer remembers the branch it was registered in. The registration is stored in the browser: in another browser or browser profile the computer is not shared, and after clearing the site data it has to be registered again.
4. Setting your PIN
- Sign in with an email code or a passkey.
- On a shared computer RentProg offers to set a PIN right away. You can also do it later: profile, “Security” tab, “PIN for shared computers” block.
- Enter 4 digits, repeat them and click “Save PIN”.
After your first sign-in on a shared computer you appear on its lock screen. An existing PIN can be changed only with your current password. If you forgot your PIN, click “Reset PIN” in your profile and set a new one the next time you sign in with a code.
5. When the screen locks
- After the idle time: no mouse movement, key presses or touches in any tab.
- Manually: “Lock” in the user menu or the
Ctrl+Shift+Lshortcut (Cmd+Shift+Lon a Mac). - When a page opens after the computer has been idle longer than the idle time, for example after sleep.
On a shared computer the user menu shows “Lock” and “Switch user” instead of “Sign out”. The lock applies to all browser tabs at once.
6. Unlocking and switching employees
- On the “Computer locked” screen, choose yourself. With more than six employees, use the “Find yourself” field.
- Enter your PIN and click “Unlock”.
The same employee continues where they left off: the open page and entered data stay in place. When another employee signs in, RentProg opens their start page and closes the previous employee's work together with unsaved data — RentProg warns about this before switching. The previous employee's other tabs are closed.
If you are not on the lock screen, click “Another employee” and sign in with a code or a passkey — after that you appear in the list.
Wrong PIN. After 5 wrong attempts in a row, PIN sign-in for you on this computer is closed for 15 minutes. After 10 wrong attempts in a day, it stays closed until you sign in with a code or a passkey: click “Forgot PIN? Sign in with a code”.
7. Managing shared computers
The “Shared computers” block shows each computer's name, branch, who registered it, last activity and the employees who have signed in on it.
- “Log” — who signed in and when: registration, sign-ins, locks, unlocks, employee switches, wrong PINs, PIN resets.
- “Remove from computer” — the employee can no longer sign in on this computer with a PIN.
- “Reset PIN” — the employee sets a new PIN at their next sign-in with a code.
- “Revoke” — the computer stops being shared, and PIN sign-in on it no longer works.
8. Turning it off
Company settings → “Security” tab → turn off “Enable PIN lock” and click “Save”. The lock screen disappears and employees can sign in with a password again.
